HighLevel missed call text back: from unanswered call to useful follow-up

The first text is easy. The decisions that matter are who gets it, whether repeat callers get flooded, and what happens when someone replies or books.

THE QUICK ANSWER

How does missed call text back work?

HighLevel can send an SMS when an inbound call goes unanswered. Its built-in setting sends one for every missed call, including repeated calls from the same person. For a simple acknowledgement, start with that setting. If you need a delay, repeat-caller rules, team tasks or booking follow-up, plan a workflow using the Call Details trigger instead. [1] [2]

Choose one starting approach

The two routes solve different levels of complexity. HighLevel documents the built-in setting as an immediate text for each missed call and recommends a customized workflow when repeated calls need control. The Call Details workflow trigger can filter incoming calls by status and number before actions run. [1] [2]

Built-in text backYou need a quick acknowledgement with one message.Every missed call can produce another text, even from a repeat caller.
Call Details workflowYou need filters, a delay, a callback task or a planned reply path.Trigger filters and enrollment rules must match the actual call outcomes.

Our recommendation: Decide which route owns the first SMS before enabling both. If a built-in text and a workflow each send a message for the same call, the caller could receive two acknowledgements. That is an implementation risk to test, not a documented default behavior.

Set up the built-in missed call text back

  1. In the relevant HighLevel sub-account, open Settings → Phone System → Voice → Voicemail & Missed Call Text Back → Missed Call Text Back. [1]
  2. Enable the feature and choose Customize to edit the message. Keep the first text short and recognizable as your business. [1]
  3. Use the test-message field to preview the SMS, then save. A name merge field may be blank or inappropriate when the caller is not already known, so inspect both known and new-contact examples. [1]
  4. Check the voicemail ring timeout. HighLevel says that setting affects when a call counts as missed; its article suggests a 10–20 second range, but the right value depends on how your team handles calls. [1]

HighLevel says it may select another eligible sending number if the called number cannot send SMS. Check which number the customer actually sees and whether replies reach the right team. [1]

A first message that earns a reply

SAMPLE COPY · EDIT FOR YOUR BUSINESS

“Hi, this is [Business]. Sorry we missed your call. What can we help you with? Reply here and our team will follow up. If you prefer, book a time: [your booking link].”

Only include a booking link if its calendar and availability are ready. Set realistic response expectations and follow the messaging and consent rules that apply to your audience.

Keep the message about the call the person just made. Avoid pretending a person has already reviewed the request or promising an immediate response when nobody is monitoring replies. The booking link is an option, not a substitute for handling a direct question.

What if the same person calls twice?

The built-in setting sends a text after every missed call. HighLevel recommends a customized workflow if you want to prevent a second automatic text during a short period; its examples include a roughly 20-minute wait or tags that distinguish first and later calls. [1]

For that route, create a workflow in Automation → Workflows with a Call Details trigger. Filter for Incoming calls and the statuses you actually want, such as busy or no-answer. You can narrow it to a particular phone number or number pool. Add your delay, suppression condition, SMS and team notification, then test the resulting enrollment before publishing. HighLevel documents these trigger filters; the exact suppression logic is an editorial design choice to validate in your account. [2]

If a longer follow-up sequence sends further messages, check the workflow's Stop On Response setting. HighLevel says it ends that workflow for a contact who responds to a message sent from the workflow. That does not replace a human owner for the conversation, and it does not by itself control messages from other workflows. [3]

Turn the conversation into a useful next step

A missed-call SMS starts a conversation; it does not automatically qualify or book the caller. Decide who reads replies, who calls back, and when to offer the booking link. If someone books through a HighLevel booking link, its Customer Booked Appointment trigger can start a separate confirmation or reminder workflow. The documented trigger applies to customer-booked, non-recurring appointments, not appointments entered manually by staff. [4]

For a small team, a simple handoff is often enough: acknowledge the missed call, notify one owner, reply to the caller's question and offer an available slot. Add automation only after the human path is clear.

What does this cost beyond the subscription?

The text-back feature can generate billable Phone System activity. HighLevel's Phone System billing guide lists monthly phone-number charges, per-segment SMS charges and carrier fees; rates and registration requirements vary by destination and number type. Budget for the number, outbound replies, any inbound texts, and the ongoing human follow-up. Check the current rates and eligible sending setup before quoting a client. [5]

A launch check for one location

  1. Call the actual business number and let it ring through. Confirm the call outcome and time it takes to send the text.
  2. Call again within a few minutes. Confirm the repeat-caller experience matches what you intended.
  3. Reply to the text. Confirm the right person sees it and that any later workflow message stops or changes as planned.
  4. Open the booking link, book a test appointment and check the timezone and confirmation path.
  5. Review message delivery, sender identity and the Phone System charges shown in the account.

This is our proposed acceptance test, not a claim that we ran it on a live HighLevel location. Record the result for your number and region before copying the setup to clients.

Common questions

Will HighLevel text a repeat caller again?

Its built-in missed call text back is documented to send after every missed call. Use a tested workflow if you need a different repeat-caller rule. [1]

Does the built-in text automatically book appointments?

No booking outcome should be assumed from the first SMS. You can invite a reply or include a valid booking link; the team or a separately configured automation still needs to handle the next step.

Is SMS included in the $97 Starter plan?

The platform subscription and Phone System usage are different charges. Check the current number, message and carrier costs for your location. [5]

Start with one missed-call journey.

Choose one number and one owner. Make the first text useful, then test the second call, the reply and the booking path before expanding.
